INTRODUCTION:



This position provides administrative support to the Associate Dean of Technology for the School of Construction.  Reporting directly to the Administrative Coordinator this position provides all administrative support required to meet the needs of the Associate Dean.  The incumbent is responsible for maintaining files, preparing and routing correspondence for signature, researching information, preparing presentations, organizing meetings and special functions at the discretion of the Associate Dean.  This position will also be responsible for taking and transcribing minutes and cover-off for other administrative team members.



 



RESPONSIBILITIES: 



·         Providing confidential administrative assistance to the Associate Dean, Technologies, including receiving and dealing with routine communications through telephone and e-mail.



·         Schedule and coordinate the Associate Dean's calendar.  Serves as liaison between the Associate Dean and Academic Chairs.



·         Prepares routine documents for signature and maintains necessary files.



·         Coordinates group meetings including arrangements such as location, hospitality, travel and parking requirements.  Prepares agendas and serves as recording secretary.



·         Make all necessary travel arrangements for the Associate Dean.



·         Assists other department administrative staff as demand requires



 



QUALIFICATIONS:



The successful candidate must have completed grade 12, supplemented by relevant office administration courses with a minimum of five years office experience.  Preference will be given to candidates who possess excellent interpersonal and customer service skills.  They must have a pleasant and patient telephone manner with excellent written and verbal communication skills.  The successful candidate will be able to accurately record and transcribe minutes.  They must be self-directed and capable of managing multiple deadlines, with organizational, time and priority management skills.   Microsoft Office expertise is required.  Access, PowerPoint, and Banner skills are assets.
