Job Profile
Commissionaires is looking for a Board Liaison & Coordinator, Special Projects whose primary role is to head the Secretariat of the Commissionaires National Office, to act as an Officer of the National Board, and to provide support to the Executive Director for the management and conduct of Secretariat functions.
In the capacity of Secretary to the Board, you are expected to maintain close liaison with the Chairs of the Board, the National Business Management Committee, the Audit Committee and various ad-hoc committees. As Coordinator, Special Projects you will provide direct support to the Executive Director by conducting research, preparing submissions, written documentation and presentations.
Responsibilities
Duties include, but are not limited to:
· Providing secretarial services for national meetings, webcasts and teleconferences including, planning, organizing, developing agendas, and the supporting documents
· Preparing and distributing minutes post meetings
· Preparing briefings as required by the National Chair, the Chair of the National Business Management Committee and the Executive Director
· Conducting research, studies, analysis on national level issues
· Acting as the Department of National Defence (DND) Return to Work National Coordinator
· Providing executive level support to the Executive Director by preparing correspondence, drafting letters, and preparing replies to general level grievances and complaints
· Providing assistance with trade shows.
Required Education, Qualifications and Experience
The incumbent must possess the following experience, skills and attributes:
· Undergraduate Degree in Administration or equivalent combination of education and experience
· Minimum 5 years experience in an administrative support function
· Experience in research and analysis
· Knowledge of the budget management process
· Ability to communicate with senior executives
· Reading, writing and presentation skills at the professional level
· Ability to work independently, and to operate in a multi-task, sometimes stressful environment with changing and conflicting priorities
· Ability to use Microsoft Office applications in a Windows environment
· Ability to communicate effectively in French is preferred
· Security clearance at the Secret Level is required.
