In this position you will:



As the Manager, Human Resources Information Systems and HR Services, you will be responsible for overseeing the management, development and ongoing maintenance of the Human Resources Management information systems for Staples Canada Inc.  In addition, you will oversee the day to day HR/Compensation support related to data entry changes such as compensation changes, job changes etc.


This position is key to supporting our PeopleSoft HRIS (9.0) and other HR Technology as a decision support tool for Staples Business Depot.  Leverages and supports a wide variety of recruitment, web based, learning management data interfaces, performance management systems, Time and Attendance and payroll interfaces.


This position is responsible for supporting and overseeing the identification of business solutions with respect to Human Resources information. Your role will ensure that we maintain data integrity of our PS HRMS.  Identifies reporting, training and system needs for all Canadian Business Units.


Position is responsible for management of the generation of reports/statistics, troubleshooting system problems, providing user support and training, implementing enhancements, upgrade testing, documenting data/process requirements and specifications, and ensuring the integrity of HRIS data.   In addition you will interpret and analyze data, review client requirements to design and produce reports to address HR and external client needs. 


A thorough knowledge of HR administrative practices and policies, will ensure that you are successful in linking user needs to system functionality


Types of projects you will be involved in include:


Project Management and System Optimization - 30%



  • Adept at project management you will be responsible for coordinating and ensuring that HRIS projects are kept on track and that all projects are delivered on time and on budget.   This will involve developing excellent relationships with multiple cross-functional project teams including CAN IS, US IS, outside vendors as well as functional user groups.

  • Responsible to review functional specifications and ensure that system change requests do not impact current functionality.  Using your in depth knowledge of PeopleSoft, proactively identify vanilla or minimal customization approaches to meet business demands and improve process efficiency for our end users.  Design cost effective solutions to business challenges.

  • You will work directly with our functional user groups to design processes and procedures, which will improve effectiveness and efficiency.  In addition you will support and mentor the HRIS Project Lead, HRIS Analyst II, in creating solutions to improve efficiency related to HR systems and information.

  • You will partner with other members of the HRIS team at times leading projects and at other times supporting your team in accomplishing systems initiatives.

  • You will actively search out and challenge your team to look for opportunities for process improvement through probing and anticipating the needs of your client group, providing insight into how technology can improve their processes.



System Support, Upgrades, Day to Day Administration, HR services - 30%



  • Ensure that system maintenance is performed regularly and the upgrades and testing of new functionality meets acceptable standards and follows change management protocols. 

  • You will ensure that day-to-day proactive maintenance of the HR Systems is planned throughout the year.  Oversees 6-7 tax upgrades annually for PS.   

  • Oversees the provision of first level support for Business Plan, My learning at work and Performance review systems.

  • Reduces management time on administration through oversight of day to day compensation call support for General Managers and other HR management primarily on hourly compensation increase program questions, through 2 HR Services reps. (Requires liason with Compensation Managers for Retail and NAD to thoroughly understand the programs and what is happening at the field level from a support perspective)

  • Oversees the import and audit of daily automated audit files such as new hires, compensation increase process.

  • You will monitor the annual budgets and look for opportunities to reduce costs.



People Management - 20%



  • Responsible for balancing the project work plans to ensure that deadlines are met and that work demands of the team are realistic. Oversees a busy workload for a team of 6.

  • Assesses training opportunities, ensures development and coaching of team.

  • Liases with multiple constituents across all business units in Canada to ensure that we are meeting their system needs.  Partners with other primary stakeholders in learning systems, and business plans.



Security, Data & Training - 10%



  • Approves all access to the PS system, as well as data requests from the US, according to Privacy guiding principles.

  • Responsible for quarterly audit of security systems access.  Ensures SOX protocols and standards are adhered to.

  • Assesses data related issues and training opportunities.  Creates strategies to improve overall system accuracy. Designs and implements training for users across Canada.



Reporting - 10%



  • Provides superior Customer Service through the preparation and distribution of a myriad of routine to complex weekly and biweekly reports supporting finance US, payroll and HR management teams.

  • Oversee the preparation of regular reports on topics such as HR Metrics, benefits entitlement, performance reviews, wage reviews, vacation entitlement, job analysis, etc.

  • Looks for every opportunity to train users to be self sufficient.


Technical Skills:



  • 3-5 of project management/implementation experience.

  • Min 7 plus years progressive experience in HR related technology, project lead experience a must.

  • Significant seasoning required in functional HR. (7-10 yrs progressive) Requires, formal HR certification such as CHRP, CCP or other post secondary HR training.

  • Previous managerial experience in a Generalist HR capacity.  Knowledge of compensation practices and in depth knowledge of HR legislation is required. 

  • Strong functional knowledge of HRIS specifically PeopleSoft. This is not a programming position but a strong understanding of back end functionality is a necessity. 

  • Knowledge of modules such as Benefits Admin, e-Benefits and Health & Safety would be an asset.

  • Advanced knowledge of Relational  Databases such as SQL server and Access

  • Above average PC skills with a focus on MS Suite applications.

  • You thrive in a fast paced environment and have exceptional project management skills.
