Our clients are seeking an Accounts Payable Coordinator to join their team.
*Summary of Position* Under the supervision of the VP Finance the AP Coordinator will be responsible for the complete cycle payment to vendors, for the posting of invoices and the project cost analysis.
*Tasks & Responsibilities *
Respond to vendor requests: .Make the necessary research of invoices in dispute .Identify the disputes and provide the analysis .Respect the payment terms with vendors
Post vendor invoices .Examine the invoices received in regards to their nature, the date of the expense, the date of payment as well as any particularity. - Validate and apply the proper general ledger code for each invoice on each invoice per stamp model Make a provision when required Obtain the proper approvals Match any purchase order to the corresponding invoice and ensure that they correspond to each other Enter the invoices in the accounting software Create new vendors and enter proper vendor terms Responsible for issuing cheques and/ or set-up wire transfers to vendors .Ensure that cheques are issued on a weekly basis .Attach all approved documentation for signature approval .Attach all necessary documents for the mailing of cheques .Ensure the proper distribution of signed cheques to the persons and / or vendors concerned Reconcile Purchase Orders .Match any purchase order to the corresponding invoice ensuring that they match our purchase order .Track all outstanding purchase order and follow-up with vendors .Reconcile outstanding invoices with our vendors .Track and collect all credit notes due from our vendors
Qualifications Required .DEC, finance .Minimum 3 years experience in a similar position .Knowledge of Microsoft Office software .English written and oral, French, basic knowledge oral
